Paper Preparation Guideline

Templates 

Use of the official JACoW templates is mandatory for all MEDSI2025 paper submissions. Make sure to download the latest version of the template files—whether you are using Word, LaTeX, or OpenDocumentbefore you begin writing your paper, even if you have templates from previous conferences.

You must use the predefined styles included in the templates. These ensure consistent typesetting and layout across all submissions and help avoid the need for later corrections.

Length of Contributions 

Papers for both contributed oral and poster presentations may be up to three (3) pages in length.

If a contribution includes an extensive list of references, these may continue onto a fourth page—but only references are allowed on this additional page. No other content (e.g., text, figures, tables) may appear beyond page three.

Page limits will be strictly enforced. Any paper exceeding the allowed length will be returned to the author for revision and, if not corrected, may ultimately be rejected.

Basic Hints and Tools 

Detailed instructions on how to prepare a proper JACoW paper are included in the JACoW template itself. In addition, we strongly recommend reviewing the following resources and tools to help ensure your paper meets the required quality standards:

Naming of files 

Only files named according to the paper’s program code can be uploaded. For example, if your paper code is MOPA999 and your paper includes two figures, the filenames should be as follows:

  • MOPA999.tex (or .docx, .odt, etc.): The source file. This should be uploaded in the “Source File” upload box.
  • MOPA999.pdf: The PDF version of your paper. Upload this in the “PDF” upload box.
  • MOPA999_f1.eps (or .png, .tif, .jpg, etc.): The file for figure 1. Upload all figures and supplementary files in the “Other Supporting Files” upload box.
  • MOPA999_f2.eps (or .png, .tif, .jpg, etc.): The file for figure 2. Also upload in the “Other Supporting Files” upload box. 

References 

Fixing incorrect or poorly formatted references in submitted papers is one of the most time-consuming tasks for the editors in the Proceedings Office.

Please carefully follow these basic rules: 

  • All bibliographical and web references must be numbered and listed at the end of the paper in a section titled “References.”
  • When citing a reference in the text, place the corresponding reference number in square brackets, for example, [3].
  • URLs may be included as part of a reference, but hyperlinks must be removed (in Word, use Ctrl+K to remove the link).

Below, we summarize the most frequent types of references and how to format them correctly.

Citations of JACoW publications 

To ensure correct formatting of citations for JACoW publications, use the JACoW reference search tool. This tool should be used for all JACoW conference-related citations.

Citations of non–JACoW publications 

It is crucial that all bibliographical references are written clearly and consistently across all conference proceedings. Always use the exact formatting specified in the template. More examples and detailed instructions can be found in Annex B of the full template or on the JACoW website.

Basic Accelerator Conference Citation Formatting
