Registration Fee includes:

  • Entry to all sessions
  • Morning and afternoon coffee breaks
  • Lunches (Monday to Friday)
  • Attendance at Welcome Reception (September 15th – Monday)
  • Attendance at Conference Dinner (September 18th – Thursday)
  • Entry to Industrial Exhibition
  • Facility Tour (September 15th – Monday)

Registration and Cancellation Policy

1. Registration Categories

  • Standard Registration: Available for all participants who do not qualify for special rates.
  • Student Registration: Available to full-time undergraduate, master’s, or PhD students enrolled at an accredited institution at the time of the conference. Verification is required through one of the following:
    • A valid student ID with an expiration date covering September 2025.
    • An official enrolment letter from the university or institution confirming full-time student or PhD status.
  • Local Registration: Available only for employees of MAX IV and ESS.

2. Early Bird Fee

  • To qualify for the early bird rate, delegates must register before June 2nd, 2025, at 23:59 local time (CEST, UTC+2).
  • Payment must be completed within one week after early bird registration period ends to secure the early bird rate.
  • If payment is not received within the deadline, the registration will automatically be updated to the standard fee.

3. Cancellation Policy

  • Cancellations before August 11th, 2025: Full refund minus an administrative fee of 1 000 SEK.
  • Cancellations after August 11th, 2025: No refunds will be provided, except in cases of force majeure (e.g., serious illness, visa denial, travel restrictions), which will be reviewed on a case-by-case basis.
  • Delegates may transfer their registration to another person at no additional cost until September 1st, 2025. All requests must be submitted in writing via email (medsi2025@maxiv.lu.se).

4. Payment and Confirmation

  • Registration is only confirmed once full payment has been received.
  • Accepted payment methods will be detailed on the registration platform.
  • Delegates are responsible for any bank transfer fees or currency conversion charges.
