The MEDSI2025 conference will adhere to the JACoW (Joint Accelerator Conferences Website) www.jacow.org rules for submitting proceedings.
Submission Dates
- Abstract submission opens: January 15, 2025
- Submission deadline: May 2, 2025
Where to Submit Your Abstract
All abstract submissions must be made through the MEDSI 2025 JACoW Indico page: https://indico.jacow.org/event/88/.
The submission portal will be accessible to the public starting on January 15th, 2025.
Before Submitting an Abstract
Due to the migration from SPMS to JACoW Indico and the updated authentication method introduced on March 17, 2025, all JACoW accounts require a reset of their login credentials. To ensure a smooth submission process, please make sure that all authors and co-authors without an existing account create one (https://indico.jacow.org/login/), and those with an existing account in the JACoW repository have updated their login details in advance (instructions available here).
Submitting an Abstract
Title
Enter the title of the abstract using sentence case. This means capitalizing only the first letter of the title and proper nouns, as well as acronyms or SI units where appropriate.
Content
Describe what you intend to present at this conference. Please note the following:
- Refrain from using the markdown formatting or LaTeX
- Avoid copying and pasting from word processors such as Microsoft Word or LibreOffice to prevent formatting issues.
- Abstract must not exceed 1200 characters and must be at least 100 words long.
Author(s)
Enter the list of authors by clicking on the Search button. Search for authors in the JACoW Central Repository by providing Family name and/or Given (First) name, email address and/or Affiliation.
If a co-author is not found, check the legacy JACoW Central Repository to verify whether the person already has a profile. If the profile exists, the co-author may need to update their login credentials. Please avoid creating duplicate profiles.
If the author does not have an existing profile in the legacy JACoW Central Repository, ensure all the co-author creates a JACoW Indico account here: https://indico.jacow.org/login/. Once created, repeat the search and select the newly created entry. Ensure that the author’s affiliation is correctly listed in the authors section of the abstract submission.
Note: Only the first (contributing) author should be listed as “Author” (also referred to as “primary author” in Indico). This author will appear first in the list and be able to edit the contribution and submit the paper in Indico afterwards. All other authors should be marked as “Co-author“. They will appear in the authors list but will not have submission privilege in Indico.
